September Annual Members' Meeting

Healing Light Spiritual Church Annual Members’ Meeting Minutes September 18, 2022 Rev. Janet called the meeting to order at 1:15 p.m. Invocation: Rev. Janet Decker Roll Call (current) Board Members: President: Rev. Janet Decker Vice President: Janice Nelson Kroesser Secretary: Rev. Michele Caitlyn-Strout Treasurer: Rev. Sarah Lane Trustee: Rev. Alex Gilgan (Absent with our prayers) First Roll Call of Members Present: MJ Shellie Wells-Babcock Angel Downing Guests: Randall Downing After Michele read the bulk of the September 2021 Annual Meeting Minutes, Janet moved to accept the Minutes of the 2021 Annual Members’ Meeting. 2nd and passed. President’s Report: Rev. Janet Decker It is my pleasure to cover some highlights of what went on here at the center between September of 2021 and September of 2022. The list is quite long. There is a number of “firsts” for our center: • In November, we had a wonderful Thanksgiving Day meal • In December, we had a giving tree and Children’s Day • In February, we had a Valentine’s dance that was quite wonderful • In April, we had a pool party • In August, Angel Downing started putting together the Healing Light Spiritual Investigative Team and soon they will be doing spiritual and paranormal investigations. 2 • In September, we had our first ever radio ad aired on WZLO and WKIT. It was so much fun when I heard it on the radio! Some fundraisers and classes we hosted this past year: • Yard sales • Art classes • Healing circles • Book discussion group • Mediumship group • Movement, drumming and chanting classes • Our friend Colin Hall was here and id a psychic art demonstration and art workshop • We held gallery readings • We had raffles • Matthew McDonald put together a fundraiser entitled “Unlock Your Life” which was well attended • Yoga classes • Hypnotherapy and Past Life Regression Certification classes. I believe the highlight of the year was our 3 year anniversary celebration on July 2nd. We had 20 vendors and lots of people came through. The secret to growing our center and our church is making people aware that we exist and the Gala gave us lots of great exposure. We also had another Halloween party. It was well attended and lots of fun. And let’s not forget that in January, work began on our ADA bathroom and that was finished in April, Yah! It was a wonderful and very busy year! When I read out loud all the things that we have done here at the center this past year, it amazes me. And it also makes me think where has the time gone?! It is important to note that we had quite a few new folks join our church, which is always wonderful, and that Rev. Alex Gilgan and Rev. Sarah Lane were ordained and Sarah has stepped into the role of Lead Pastor. Also, we’ve had considerable monetary contributions to our church this year. The donors wish to remain anonymous, but the Board members know who you are and on behalf of our church and its members we are extremely grateful and we thank you. We were at, or near, capacity with our garage rentals this year. As most of you know it is the income from the rentals that pays our mortgage for the most part. This is why it is imperative that we keep our garages in good condition. 3 We have been fortunate again this year to have Bruce, Ken and Sarah mow and weed whack. This is no small task and we are so very grateful to them. And we are grateful to our activities and garden committees for their ongoing commitment to our church. This past week, we had a nice couple and their dog who are walking across America camping on our grounds. For a small donation a free place to set up their tent they weeded our gardens and weed whacked. We were happy to give them a safe place to camp for the week. And grateful for the work they did. As everyone knows the price of fuel oil has skyrocketed but we were able to pre-buy the same amount of gallons of oil as we used last year for a set amount. It was a very large expense, almost double what we paid last year for fuel. However. Thanks to the many classes and fundraisers, the rental income and generous donors we remain in the black. Also, repairs were at a minimum, this past year, which is great! Coming up, however, there is one large issue and expense that must be taken care of and that is the replacement of the door on garage #2. This project is in process. We truly believe that with due diligence and continued income from rentals, workshops, and fundraisers, as well as our generous donors, we will be fine. One of the immutable laws of the universe is, when you work in the vibration of love and light, you will be taken care of. Another way of saying this is, you get back what you give out. As Spiritualists, we have seen this law at work over and over again and although we must be diligent we know when funds are needed they will be provided. I would be remiss if I ended the President’s Report without praising the people who gave so generously of their time and efforts this past year to keep our church and spiritual center going every week. Without them, the church and center would not function. Sarah, Michele, Stephanie, Kendra, Alex, Diane, Angel, Bruce, Shellie, Ken, Bruce, our Mediums and Speakers, and our Board members. To all of you, you have my personal undying gratitude. And you have the gratitude of all those in Spirit who are cheering us on. Thank you! Thank you! Thank you! Blessed Be, Respectfully Submitted, Rev. Janet Decker Maintenance Report: Bruce & Ken…Read by Janet Completed this year: We have a new ADA compliant bathroom and we now have a utility closet with a utility sink making cleaning of this facility so much easier. Also, Diane has stained the wood and she will be applying two coats of poly. We need the poly applied to meet the fire code. Upcoming needed additions and repairs are as follows: • Garage doors are needed on all 3 garages. The garage door on Garage #2 is in process 4 • We need a handicap ramp out front • The fascia board on the front of garage #2 still needs to be replaced. It is painted in the garage to be put up, but we need 2 people to help with this project. • We need gutters on the back of the building…with a barrel to collect rain water • All basement walls need to be sealed on inside and the back wall nay need to be sealed on the outside as well. We have to see what the gutter will do before we go to the expense of sealing that wall on the outside • Ken has mowed the back for us a couple of times and Sarah, Matt, and Bruce have mowed the front and back lawns and weed whacked the ditch. • The furnace needs to be cleaned. Secretary’s Report: Rev. Michele Upon being voted in as Secretary at the 2021 Annual Members’ Meeting, it has been quite a juggling act, trying to keep all these balls in air. And stepping in Diane’s shoes was no easy task, to say the least. I had a rough time earlier this winter trying to keep up with personal and church affairs, but after Rev. Janet graciously agreed to take back the newsletter creation every month, I had a little breathing room, and I feel much more comfortable with all the other church responsibilities now. We as a Board, have grown together over the last year, and as I was reviewing the minutes from the past year, I see how very much we’ve accomplished…everyone pitching in willing to help with various tasks and activities; someone is always offering a helping hand or a hug when needed. I’ve watched as some members drift away and I wonder what I could have done to keep them involved and if they left because they didn’t feel appreciated. But new members join, and the church grows with new viability and fresh ideas. I am honored to continue as your Secretary for another year, and please feel welcome to contact me with any concerns or ideas. Blessings, Michele Caitlyn-Strout HLSC Secretary Activities Report: Rev. Sarah Having agreed that Janet’s President’s Report covered the activities of the past year, Sarah wanted to point out that our upcoming “Giving Tree” this holiday season will center around giving to children. 5 Treasurers Report: Rev. Sarah As always, the books are available for review to members upon request. Year End Treasurer’s Report: Checking $8,110.10 Savings 9,185.91 Total in Bank 17,296.01 On Hand In Petty Cash 114.88 Kitchen Fund 235.23 From September 2021 to September 2022 Mortgage $13,006.44 Electric 1, 588.68 Internet 1,261.28 Cell Phone 180.00 Insurance 4,670.00 – (switched to Church Mutual; more money, but much better coverage) Plowing 2,400.00 Fuel 4,010.72 Pre Paid Fuel 6,262.65 After MJ’s recommendation, Janet moved that we dissolve the kitchen fund and put the money in the general fund and keep $200 in petty cash. 2nd and passed. Unfinished Business: (After it was determined that there was no unfinished business of the membership, the meeting continued) 6 New Business: HEALING LIGHT SPIRITUALIST CHURCH DECLARATION OF PRINCIPLES (Revised by the Board of Directors and approved unanimously by those present at the Annual Members Meeting on September 18, 2022) 1. We declare God to be an energetic, creative force in the universe. This force is both masculine and feminine and exists as Infinite Intelligence and Love. 2. We understand that the phenomena of nature, both physical and spiritual, exist together with God in Sacred Unity and are expressions of Infinite Intelligence and Love. There is no separation between us and God. 3. We affirm that a correct understanding of such expression, and living in accordance therewith, constitute true religion. 4. We affirm that every soul, its existence and personal identity, continues after the change called death and throughout the process of reincarnation. 5. We affirm that communication with other Dimensions, Spirit, Angels, all God’s Creatures and the Natural World, are demonstrated through the phenomena of Mediumship. 6. We believe that the highest morality is contained in the Golden Rule: “Do unto others as you would have them do unto you”. 7. We affirm that we are personally responsible for our own happiness or unhappiness as we live in harmony or disharmony with nature’s physical and spiritual laws. 8. We affirm that the doorway to reformation is never closed against any soul here or hereafter. 9. We affirm that prophecy and healing, as found in the Bible and other sacred texts, are Divine attributes proven through Mediumship. Janet explained that since we are an independent church and we are not members of the (National Association of Spiritualist Churches) NASC, the Board agreed our Spiritualism and Philosophy is of our own perception that should be created internally. The above changes were agreed to be the basic principles agreed upon by the Board of Directors that would sufficiently govern the Healing Light Spiritualist Church. Much discussion ensued: Angel expressed that we should consider having a philosophy of Spiritualism class for new members based on the book, Becoming a Spiritualist, by H. Gordon Burroughs. Sarah felt we all need to walk our own path, each learning for his or herself. MJ believed there should be a “written foundation” that gives a newcomer somewhere to start. Janice explained that we are a Spiritualist church; “the branches are different, but we are still of the same tree”. Angel felt that if the Declaration of Principles are important enough to recite every week, then it is important enough to teach the meaning of each Principle, in the form of a new-member brochure or booklet of sorts. Randy and Sarah 7 both agreed that new members should not be spoon fed and no one should carry anyone on their spiritual journey, but walk beside them on their own individual paths. Michele offered the idea that every time someone had an inspirational talk on each Principle, (like Matt McDonald gave on the seventh Principle and Janet gave on the first and second Principle) we should keep a notebook in the church office until each Principle was touched upon in the worship service. Janet felt we should continue to work on each Principle on a monthly basis until we have touched upon each one. Michele also mentioned that upon re-reading the Declaration of Principles, she was not completely comfortable with the wording of number 9. “…the Bible and other sacred texts.” Michele believed since we are not a Christian church…then why was the Bible mentioned specifically…why not, ie “…the Torah and other sacred texts” or “the Quran and other sacred texts”? Janet and MJ felt that the founding fathers were Christian, and this country was meant to be a Christian nation. Michele said not all founding fathers were Christian and “Freedom of Religion” was in the Constitution, but ultimately Michele decided there was no support for her suggestion to remove the words “… the Bible and other…” from number 9, so Michele withdrew her request. Michele moved that we accept the Declaration of Principles as written. 2nd and passed unanimously. ELECTIONS: Second Roll Call. Everyone mentioned above were still present. Our Nominating Committee, Stephanie Cartwright, submitted a paper stating all officers were running unopposed: President: Rev. Janet Decker (this term will run out in September 2024) (Allowed 3 consecutive 2-year terms and this will be the start of her first term, since she started in the middle of covering the previous President’s term of office). Sarah Lane (this term will run out in September 2024) (Allowed 3 consecutive 2-year terms and this will be the start of her first term, since she started in the middle of covering the previous Treasurer’s term of office). 8 Rev. Janet asked for nominations from the floor 3 times. After receiving no further nominations from the floor, Rev. Janet asked the Secretary to cast 1 vote for Rev. Sarah Lane for the position of Treasurer. The Secretary did so. August

HEALING LIGHT SPIRITUALIST CHURCH BOARD MEETING MINUTES For August 21, 2022 Board Members: President Rev. Janet Decker Vice-President Janice Nelson Kroesser Treasurer Sarah Lane Trustee Rev. Alex Gilgan and Secretary Michele Caitlyn-Strout Meeting was called to order at 12:51 p.m. Janet gave the Invocation and all Board members were present. Secretary’s Report: Michele • July Minutes were accepted. • There were no suggestions in the suggestion box. • Janet moved that we accept Tara Gilmartin as a new member. 2nd and passed • Special thanks to Diane and her son, Josh for creating our new website. Angel Downing has expressed an interest in being our Social Media Manager going forward. • Sarah Lane’s ordination will be on August 28th and Patty Smith’s ordination will be on October 9th. • Virtual Worship Services has been tabled until we can get someone more tech savvy to help us with this. • (Please see attached new and improved Declaration of Principles extensively discussed and agreed upon by the Board members to be presented to the membership for approval at our Annual Meeting on September 18th.) The Board decided that since Healing Light Spiritualist Church (HLSC) is a separate, independent church, and not a member of the National Spiritualist Association of Churches (NSAC), that we should update the language of our Principles, so they may be in better alignment with our belief system here at HLSC. Janet moved that the Board present the new Declaration of Principles as agreed upon this day for membership approval at the Annual Meeting in September. 2nd and passed. • Acknowledging that volunteers are vital to a healthy church, it was agreed that our membership application should stress the importance of volunteerism by asking the new members to include their skill set and interests (for instance, is the person a good speaker, have they served on other committees, do they like to garden, and would they be willing to help clean the church)? Activity’s Report: Sarah. • Pastoral counseling will be a separate group meeting planned for the near future. It was agreed that members should include Sarah, Michele, Stephanie, Kendra, Angel and Janet. • Michelle Spencer has been conducting yoga classes for the last few months and she’s interested in teaching children with parents and virtual classes. The price is $10/drop-in and $45/6 classes…this is less than her usual rate. We agreed to an 80/20 split (80% to Michelle, since she does this on a regular basis) and we would revisit this with Michelle in three months. • It was agreed we would have a holiday craft venders/mediums day on the second Saturday in November. Sarah will contact the venders who came to our Anniversary Day celebration to see if they’d be interested in coming in November. Mediums would also be advised to sell gift certificates as stocking stuffers for their friends and families to get future readings. • We need more publicity. We are having a Blessing of the Animals on October 2nd and we want the community to be aware of how much we all love our animal, just as they do. It is a good opportunity to advertise. Diane is investigating radio advertising and Michele agreed to look into Direct Mailing through the USPS for Etna and Carmel area. • The Activities Committee will meet on the second Monday of the month at 6:30 p.m. Treasurer’s Report: Sarah. • As always, the books are available for review to members upon request. • The Treasurer's Report was accepted. • It was agreed that we would purchase items needed for the Paranormal Investigators Group. Janice said she wasn’t sure at this time what she would be able to donate and what she must bill to the church. Further discussion next month. • Just as an interesting breakdown of our heating oil prices, Sarah made a breakdown: o $6263.65/year o $521.88/month o $17.15/day Old Business: • Email Ratification: Janet moved that we pay Janice’s nephew $40/hour for labor to install Lenox on the laptop Michele donated. 2nd and passed on July 26, 2022. • Gallery Readings are on hold, but not forgotten. Sarah pointed out we need to advertise for student mediums. • Sarah also wants Ken and Bruce on the Buildings and Grounds Committee to put a rain water collection barrel at the end of the new gutters. New Business: • All members will help in the creation of the Annual Meeting Agenda for September. We need a Nominating Committee. As of this meeting, Angel Downing has agreed to come on as Trustee, Janet has graciously agreed to stay on as our President for another couple years. And Sarah is seriously considering staying on as our Treasurer • Since Sarah will be ordained on August 28th, and Rev. Janet spends about ten months a year in Tennessee, it was agreed that Sarah would be the HLSC Lead Pastor. Janet gave our Benediction and our meeting was adjourned at 2:45 p.m. Respectfully Submitted, Michele Caitlyn-Strout HLSC Secretary

All board members except Rev. Alex was in attendance. Guests: Diane Jackman Diane asked for board members to email some Frequently Asked Questions for her son Josh to record on the new website he is creating for us. We should also look out for upcoming emails and give Josh some constructive comments and ideas on what we like about the website design, and what we wished to be changed. Diane’s son also suggested that we have someone on site who is involved in the church that may be a more fitting Social Media Manager long term. Diane is also requesting quotes from 5 different radio stations to do some advertising for the church. More information to be discussed at the next board meeting. Angel Downing Angel presented her ideas for starting a Healing Light Spiritual Investigators Group. She explained what this would look like and the extensive qualifications she has to run such a group. We should be on the look out for articles on the group’s mission statement, visions and values. Classes will be held for church members to become certified investigators. She pointed out that not everything paranormal is evil and we would not be using words like “ghosts”’; the group would be centered around positivity, love and light. She wants no more than nine active, volunteer members with a back up team in place. The only monetary request is for a suggested donation for gasoline. Janice moved that we approve Angel’s creation of a Healing Light Investigators Group; Angel being the team leader and trainer for all volunteers. June

HEALING LIGHT SPIRITUALIST CHURCH BOARD MEETING MINUTES For JUNE 19, 2022 Board Members: President Rev. Janet Decker (via phone), Vice-President Janice Nelson Kroesser Treasurer Sarah Lane, Trustee Rev. Alex Gilgan (Absent) and Secretary Michele Caitlyn-Strout Meeting was called to order at 12:24 p.m. Rev. Janet gave the Invocation and she did a roll call of members. All board members except Rev. Alex, who wanted to spend time with her Dad on Father’s day, was in attendance. Christine Murray was our guest today. Secretary’s Report: Michele May Minutes were accepted. There were no suggestions in the suggestion box. Michele reassured everyone that she would be serving out her Secretarial term of office and thanked Janet for taking over the newsletter duties. Shellie Babcock-Wells is our newest member. Sarah moved that we accept Shellie as our newest member. 2nd and passed. Michele will send out a welcome letter to her. Special thank you to Diane for staining the ADA bathroom, putting up some signs for our upcoming Anniversary celebration, helping us promote the event, and writing up an extensive synopsis of our fundraising event. Agreed to send a thank you card to Matt McDonald for hosting our fun-filled fundraising event with guest speakers. Michele pointed out that some of us had been informally discussing that we would like to review our Declaration of Principles and discuss some changes. Janet said that she had something written up and she would email some ideas to us. Janice mentioned that the National Spiritualist Association of Churches (NSAC) doesn’t believe in past lives and maybe we’d like to think about adding this to our principles. But Janice was at the meeting where NSAC changed the principle from “the doorway to reformation is never closed to any human soul here or hereafter, and the word “human” was omitted, which leads the way to believe animals do indeed have souls. Michele tried changing up the worship service by putting the announcements toward the beginning, because she believed the announcements toward the end disrupted the flow a little. Janice felt we should get the business out of the way earlier in the service and everyone agreed this was much better and it would be an ongoing change. Michele has agreed to keep the cleaning supplies inventory updated, and Janice will purchase a steam cleaner from Amazon.. Sarah moved that Janice be reimbursed for purchase of a steam cleaner. 2nd and passed. It will be shipped directly to the church, and hopefully it will arrive by June 30th, so our church will be sparkling clean for the anniversary celebration. Activity’s Report: Sarah. Sarah will be having Garden Club meetings on the first Thursday of the month at 4 p.m. and Michele will be presenting the Goddess of the Season. Sarah said she won’t be conducting the Intuitive Art Classes on Mondays for the summer. We will discuss this again come fall. Activities meeting will be the second Monday of the month at 6:30. It can be “zoomed” and we will ask Shellie to take notes. Janice will purchase hamburgers, hot dogs and condiments for our Anniversary BBQ. Sarah will get some salad dressings, juice boxes, pickles, cheese, chips, water and buns. Janice asked that we have onions cooking to entice the neighbors to join us. Michele will cut up the onions beforehand. Sarah will also order a cake from a local cake baker, and Michele hoped we’d have enough room on the cake to include Ram Dass saying, “We are all just walking each other home”. Right now, we have 20 venders agreeing to be here. A bunch of us will meet on Thursday, June 30th to help set up and clean. Sarah will be getting a new 4 burner grill and a propane tank. And Janice has agreed to ask Ken to help Michele with the grilling on event day. Michele will be picking up decorations and some veggie burgers for our vegetarian friends. Whatever we have left over from the event, we will offer at the potluck on July 3rd. Check to see if we have enough paper plates and the like. Michele will bring a screen house to set up to keep the flies off the salads and we will clean out garage number one, so people can sit in the shade…or out of the rain…as the case may be. Remember to ask folks to bring their own folding chairs with them. Sarah said we should have enough tables, because some may be bringing their own tents and some venders can set up in Garage three if need be. Fliers will be put in local windows also. Diane offered to have her sign person make signs for our upcoming July 2nd event, but it was decided we were running out of time and we’d try to make our own signs for now. Janice will ask Ken if he can help with a nice sandwich box – a-frame- kinda’ sign for out front, and Michele will purchase an American flag and the hardware to mount it on the outside of the building. Janice suggested banners as an option due to maybe less cost and easier storage. We tabled the idea of buying a sign with interchangeable letters. Sarah said we need to build a fire pit, this was tabled for later. Sarah asked that we get estimates for taring the parking lot. Too expensive right now, and tabled for later. Sarah would also like to start us having regular pastoral meetings ..this to be discussed at July meeting. We also discussed non-members/guests being paid to be the speaker and medium for our worship services. Sarah moved that we reimburse speakers and mediums $35 for doing both and split the amount if person decides to do one or the other. 2nd and passed. Sarah also made a motion to buy 100 sage bundles from Amazon for $1.35 and resell to make a profit. 2nd and passed. Michelle Spencer would also like to start teaching yoga classes here at the church. Sarah will get with Michelle and see when she’d like to hold these classes. We tabled talking about ideas to rent out the building for baby/bridal showers, etc. Michele asked that we show the community what we’re all about by displaying flags out front…for instance, Pride flag for the month of June. Tabled until next month. Treasurer’s Report: Sarah. As always, the books are available for review to members upon request. The Treasurer's Report was accepted. Old Business: Janet wants to fly up next summer and needs the use of a vehicle to zip around in locally. We are having a fundraiser to help her with gas due to increases in gas prices Sarah said we need donations to purchase $25 gas fund cards for folks due to the high price of gas. Thank you, Ken, for mowing the back forty. Janice said that lawn treatment companies are all booked up, and she agreed to check into organic lawn spray, to see if we could do this ourselves. Janet will talk to Bruce about garage painting, gutters on the back of the building and construction of the handicap ramp out front. We also need a price on a garage door and Janice will ask Ken if he can fix the door frame beforehand on said garage door. Janet pointed out the importance of having gallery readings She will speak to Rev. Alex about this and report back to the board. She will also talk to her about facilitating Mediumship classes in future. We tabled the idea of a Gift Store to sell sage bundles/pendulums/crystals/books, etc. We talked about having clients…pastoral care and the liability issues. We tabled further discussion until next month. New Business: Diane stained the exterior of the bathroom and we need to polyurethane a couple times near the door handle to deter the dirt. Also, the walls that have been already stained need two coats of polyurethane for all walls and doors (not just around the door handle). The wall not seen from the front needs to be stained 1st then two coats of polyurethane per fire code. Rev. Janet said she will be facilitating the September 11th worship service with Colin Hall. Colin will be the speaker and medium. He is also teaching a 4 hour art class on September 17th. Sarah wanted us to start budgeting for a new laptop. Janice suggested we use Lenux Operating System. It is compatible with Microsoft documents and guaranteed not to get viruses. Janice gave our Benediction and our meeting was adjourned at 2:53 p.m. Respectfully Submitted, Michele Caitlyn-Strout HLSC Secretary

April

HEALING LIGHT SPIRITUALIST CHURCH  BOARD MEMBER’S MEETING AGENDA April 24, 2022 Meeting called to order at 11:49 Invocation by: Sarah Board Member’s Roll Call: Rev. Janet Decker (Present) Janice Nelson Kroesser (Present) Sarah Lane (Present) Rev. Alex Gilgan (Present) Michele Caitlyn-Strout (Not Present) Guests: Kendra: I asked Kendra to stay later, so we could honor her at this meeting, You could go into executive session, so this would not have to be a part of the minutes. I assured her that the board would be the only ones who were aware of her generous gift, and we wanted to honor her for this.  But since I’m too sick today…I will mail the two gift certificates and thank you card out in the mail  when I get back to work this week. Janet and I had spoken on the phone about this, and I do not wish to be reimbursed for this. ( Kendra not present Card will be mailed.) Secretary’s Report Sarah, please check the suggestion box. (Nothing in box) The March meeting minutes were cleaned up and I can’t  find them on my home computer…they must be on my work computer. I included all the activities in the March meeting minutes, because I wanted them to be all in one place when I started doing the March newsletter. I do not need any lessons on how to formulate meeting minutes. It was merely a mistake. Unfortunately, I sent the minutes out without erasing the old news. What exactly is Diane doing? I thought all her passwords were taken away.  1) We need Michele to send us the revised minutes from March so they can be read and approved before going on the website 2) Minutes should be voice recorded making it easy to transcribe and also saved somewhere. 3) Minutes should be sent out to board members at least 2 days prior to the meeting so that they can be read and corrected if needed, then approved. At that point they can go on the website. Example, April minutes are sent out 2 days before May’s meeting. They will be read and discussed at May’s board meeting, corrected if needed, and approved, then added to website. 4) At a previous meeting we agreed that Diane continue to have access to the website and Healing Light’s Gmail account as they are connected and Diane takes care of the website. We all thought it was better to have redundancy with emails, meaning, receiving forwarded emails from Diane that have already been taken care of. Better redundancy than to have something be missed. Votes Ratified from email: 1) Corrected “postponement of board meeting email discussion”: Janice did not make a motion to postpone the April board meeting from the 3 rd Sunday to the 4 th Sunday. She opened it up for discussion as it was possible people want to go home after church to spend time with family considering it was Easter. Janet made a motion to move the meeting to the 4 th Sunday in April, the 24 th , Sarah seconded it. 3 people responded with a Yay vote, Janet, Janice, Sarah, and motion was carried. 2) The corrected version of the email discussion and vote taken on moving the April 17, 2022 board meeting to April 24, 2022 was ratified with Sarah making a motion and Janice seconding it and all were in favor. Motion carried. 3) Janet made a motion to ratify vote taken on Matthew’s fund raising event on June 11 th . Sarah seconded it, all were in favor, motion carried. 4) Ratified an email vote to accept new website design at $500.00 with Diane paying half. Janet made the motion, Janice seconded it, all were in favor, motion carried. I sent welcome letters to Jodi and Alice (Thank you, Michele) Miss you card was sent to Amy, Scott and her kids. (Thank you, Michele) Treasurer’s Report Sarah. Sarah will get the report to Michele for inclusion in minutes. Reminder, the minutes sent to Diane for the website need to have financial information omitted. As always, the books are available for review to members upon request. Activities Report 1) Sarah: Joao wants to teach his Movement and Chanting class on the last Sunday of every month from 3:30 to 5:30 beginning on May 29 th . He will teach it in May, June, July, August, and September. Cost $20.00. 2) Sarah made a motion to allow Joao to teach his Movement and Chanting class the last Sunday of every month from May through September from 3:30 to 5:30 for a cost of $20.00. Janice seconded it. All in favor. Motion carried. 3) July 2 nd event is shaping up. So far there are two vendors with a possible third signing on and 2 mediums who want to give readings. Discussed Buying Hot Dogs and Hamburger for BBQ soon as prices are rising and meats may be getting scarce. Janet suggested putting meat in her freezer in the basement. Also discussed price for BBQ but nothing settled on. 4) Activities in June: Book Signing, Matthew’s Fund Raiser, Art Class, Healing Circle, Joal’s Class. 5) Activities in July: Third Anniversary event, Laurie Xantoes Shamanism Class, Art Class, Healing Circle, Joal’s Class. 6) All classes should be posted in Newsletter and on FB as soon as we have voted on them even if they are 6 months out. 7) Sarah needs to cancel her Children's day which is the last Wednesday of every month because she has accepted a job. She will resume in the fall. Sarah will notify parents. Old Business: Please see email votes ratified above  Email ratification :Janice moved that we not hold a board meeting on the third Sunday of the month, since it was believed that people had things they wanted to do after the service on Easter Sunday. 2nd with majority passed. New Business: Since I rarely get a chance to read my board emails until the majority of discussion and voting has taken place, I would recommend the following procedures for email motions, discussions, and voting: 1. One person write’s an email in the form of a motion 2. Wait until someone second’s it 3. The person who makes the motion will give their reasoning behind the motion and ask for further discussion. 4. There will be no vote until everyone has had time to read the motion and everyone has responded and had a chance to give ideas and offer amendments. 5. The person who made the motion will ask if all discussion is complete.  6. After every board member has had a chance to respond, then the motion will be read again, (with amendments, as agreed upon, if any). 7. And board members will vote…Yes, No, or Abstain.  1) Discussion on proper procedure for email discussions and votes: Any board member can open a topic for discussion via email. Discussion comes first, then a motion is made and seconded, then president asks if there is any further discussion, then calls for a vote. Everyone is reminded to check email daily to see if there is something to be discussed and or voted on. 2) Janet will ask Sandra if our mediums and presenters can use her cottage and if there will be any fee. Church members will have to tidy up after the Medium/Presenter leaves. There was a website design idea, but I don’t think anyone voted on it. The design was not discussed or voted on. 3) An email will be sent asking Diane if she can create a mock up of the website as she envisions it. Also, letting Diane know that we are open to hear suggestions from the website designer as they know what will look and work well. 4) Bruce and Sarah usually mow but they would like assistance. The ditch is very hard to mow and needs to be dealt with early in the season. 5) Ken is willing to mow the field and bought a part for his tractor to do it last year but the part is broken. Ken will get an estimate on the repair and the church will pay for it. 6) Discussed spraying the field for ticks and also talked about purchasing tick traps. Need to discuss further. 7) Bathroom walls need to be finished and 2 coats of clear coat applied in order to meet code. We need to decide what color to stain the wood, or do we leave it natural? It is unlikely we will be able to match what’s in the rest of the building. 8) Discussed the disabled ramp. There were 2 people in wheel chairs at the service this morning. They were brought in through the garage which the folks were okay with but now that spring is hear we need to move forward with the ramp. We will look at the blueprints drawn up by the architect and Ken will design the ramp accordingly, get prices, then we can discuss and vote on it. Bruce will help with this endeavor.
